Driving growth and staying competitive today depends on one thing: the ability to deliver projects successfully. James McCoy, PMP is an experienced project management expert with a reputation for aligning strategy with execution. He recently shared his insights on how organizations can optimize project delivery for success while bringing risk management into sharp focus.
Defining Optimized Project Delivery
When it comes to defining optimized project delivery McCoy emphasizes the importance of clarity and strategic alignment. “To streamline how projects are run, you need to think about the benefits across the organization,” McCoy explained. He believes that understanding the core problem is the first critical step. “It is always optimal to understand what the problem is,” he said. “What are we trying to solve?”
For McCoy, it’s critical to have the right people and resources in place from the start. “Bringing in the right resources is key in solving the problem,” he stated. By identifying and involving key stakeholders early, organizations can ensure that foundational requirements are built thoughtfully, setting the project up for success.
Risk Management: A Built-In Advantage
McCoy also uses an integrated approach when it comes to risk management. “Risk management is a knowledge area in itself within PMI, but it should be embedded in every project, no matter how small or how big it is,” he stated. “I don’t look at risk management as slowing down or speeding up delivery. It automatically should be a part of delivery.”
According to McCoy, even simple tools like spreadsheets can be highly effective for keeping everyone in the team proactive and collaborative. Making sure that everyone has access to all the necessary information ensures that they can make informed choices, and provide thoughtful input throughout the process. “The impact of not doing it could cost you millions,” he warned.
Quality Assurance Tailored to Industry Needs
McCoy also believes that quality assurance (QA) practices need to be industry-specific. “Quality management is different depending on what type of project and what industry it is,” McCoy explained.
One example he shared comes from the tech sector. “When implementing software, you need a QA plan that outlines how development will be checked and tested. Including factory acceptance testing and system acceptance testing.” McCoy believes that tailoring QA frameworks to fit the unique demands of each industry, organizations can better safeguard the integrity and success of their project deliverables.
Communication: The Glue That Holds Project Success Together
Communication remains McCoy’s personal “hobby horse,” a foundational element he returns to again and again. “Communication to me is like the glue that holds everything together,” he stated passionately. McCoy further notes that a robust communication plan includes detailing who the stakeholders are, what they need to know, as well as how and when they should be informed. “Ultimately you build a communication plan that depicts how you’re going to communicate, when, and to whom.”
McCoy underlined that building transparency is essential for stakeholder trust and project alignment. “Everyone’s on the same page and has the ability to have transparent communications within the project.” This level of communication allows stakeholders to feel like their investment is being properly respected while ensuring that everyone on the team is aware of the important details needed for success.
Embracing AI as a Project Management Tool
McCoy looks to the future enthusiastic about the role of artificial intelligence in project management. “AI can help expedite administrative tasks like capturing action items in meetings,” he said. He also believes the greater power of AI lies beyond simple tasks.
“AI is like a knowledgeable friend,” McCoy explained. “You can use it to get ideas, troubleshoot problems, and even improve your communication with stakeholders.” He sees AI as a transformative tool for those willing to embrace it, noting, “People who grasp AI and make it their buddy will grow further than those who don’t.” Despite its promise, McCoy acknowledges that AI’s penetration in the project management community is still emerging. “We’re just trying to get our arms around AI and all the benefits it could offer,” he said.
